How to connect Asana with Microsoft Teams

Many employees use both Microsoft Teams for communication and Asana for task management. By integrating Teams with Asana, you can receive notifications in your Teams channels when tasks change. Combine that with rules in Asana, and you can automatically send reminders or set deadlines without anyone having to remember them manually.

  1. Step 1: Open the Microsoft Teams integration in Asana

    First, open the project in Asana where you want to receive notifications. Click on Customize in the top right corner. In the menu that appears, you will see various options such as Rules, Apps, and project settings. Choose Apps here. In the list of available integrations, search for Microsoft Teams. Once you have found the integration, click Add to project. You will then need to log in with your Microsoft account so that Asana can access Microsoft Teams.

  2. Step 2: Connect Teams to the Asana project

    After logging in, Asana will ask where notifications should be posted in Microsoft Teams. Select the team and the channel where you want to receive the updates. This could just as easily be a conversation with yourself. Once you confirm this, the project will be linked to the chosen Teams channel. From that moment on, Asana can automatically send messages to Teams when changes occur in the project.

    To set up automatic actions, use the Rules feature. Go to Customize in the project again and then choose Rules. Then click Add rule. With Rules, you can create automations that respond to events within a task or project.

  5. Step 5: Set up automatic reminders

    A common application of Rules is sending reminders when a deadline is approaching. For example, choose as a trigger that a task’s deadline is getting closer. Then, set the action to send a message to Microsoft Teams. This will automatically cause a notification to appear in the linked Teams channel when a task needs to be completed soon. You can set how many days in advance the reminder should be sent.

  6. Step 6: Automatically set deadlines

    Rules can also be used to automatically add deadlines. For example, set a trigger for when a task is moved to a certain section, such as “In progress“. Then choose as an action that a deadline is automatically set, for example, three days after moving the task. This way, tasks are automatically scheduled without team members having to do this manually.

  7. Step 7: Check if the automation works

    Once the integration and rules are set up, it’s best to test if everything is working. Create a new task or move a task to a section for which a rule has been set. Check if the deadline is automatically added and if a notification appears in the chosen Teams channel. If that happens, the integration is working correctly.
